1. Information We Collect & How It Is Handled
A. User-Generated Letter Content & Profiles (Offline Local Storage)
When you create recommendation letters, recommender profiles, candidate profiles, or letterheads, the following details are stored locally on your device via an encrypted local Room SQLite database:
- Recommender full name, job title, contact email/phone, and organization name/address.
- Candidate full name, email address, relationship, and key strengths.
- Generated letter text, custom tags, version snapshots, and tone calibration levels.
- Optional custom organization logos selected from your local device gallery.
None of this personal letter content is transmitted to our servers or stored in our cloud databases.
B. Advertising Data (Google AdMob)
The App integrates the Google Mobile Ads SDK (AdMob) to serve advertisements (Banner Ads, Interstitial Ads, and Native Ads). Google AdMob may collect and process pseudonymous identifiers and device data in accordance with Google's Privacy Policy, including:
- Advertising ID (GAID / IDFA).
- IP address and coarse location data.
- Device identifiers (model, operating system, network provider).
- Ad interaction metrics and diagnostics.

2. Device Permissions Used
Recommendation Letter Maker requests only minimal permissions necessary to provide its core features:
- POST_NOTIFICATIONS (Android 13+): Used solely to deliver scheduled reminders you set for sending or following up on reference letters.
- SCHEDULE_EXACT_ALARM / RECEIVE_BOOT_COMPLETED: Used to schedule and maintain exact local alarm reminders via Android's AlarmManager.
- READ_EXTERNAL_STORAGE / Photo Picker: Used only when you choose to attach an organization logo image to your letterhead from your device gallery.
3. PDF Export and Sharing
When you export a recommendation letter as a PDF or share letter content via email or messaging apps, the App utilizes Android's secure FileProvider mechanism to pass temporary file URIs only to the specific application you choose (e.g., Gmail, Drive, WhatsApp). We have no access to files shared outside the application.
4. Data Retention and Deletion
Because all letter records, profiles, and drafts are stored locally on your device:
- You can delete individual letters, recommender profiles, or letterheads at any time within the App.
- Uninstalling the App or clearing App Data in your device settings will permanently remove all stored letters and profiles.
5. Children's Privacy
Our application is intended for professionals, students, and educators. We do not knowingly collect personal identifiable information from children under the age of 13. If you believe a child has provided personal information within the App, it remains strictly local to that device.
6. Security
We prioritize the security of your information. By maintaining an on-device storage architecture, your sensitive recommendation details remain under your direct physical and device-level control.
